Who is responsible

VAGABOND VOICES PUBLISHING LTD, at 8 Ibroxholm Place, Flat 2 (1/2), Glasgow, Scotland, G51 2TP, United Kingdom, is the data controller for personal data used to operate Wayword. Contact support@vvagabondvoices.shop for privacy requests.

Wayword is online-only software for author-led book preparation. We determine how account, project, subscription and support data are handled for this service.

What we collect

We collect identifiers and account details you provide, including name, email, telephone, authentication records, subscription status, billing references and support correspondence. We receive transaction status, customer references and limited billing details from Stripe or PayPal; we do not receive or store complete card numbers.

Project data may include titles, genres, creative briefs, manuscript excerpts, prompts, uploaded reference files, generated copy, cover concepts, layout concepts, trailers, export history and deletion requests. We also collect service logs, approximate location derived from IP, device and browser data, cookie choices, fraud signals and usage events.

Collection sources

We collect data directly from you when you create a brief, upload a file, subscribe, export work or contact support; automatically from your browser and device when you use the service; from authorised users acting on your account; and from service providers involved in payment, hosting, storage, email delivery, security and requested AI generation.

Stripe or PayPal supplies payment status, billing contact details and transaction references. Hosting and security providers supply request, device, approximate-location and fraud-prevention logs. AI providers return task status and generated outputs created from the inputs you submit.

Why we use it and legal bases

We process account, project, generation, export, payment and support data to perform our contract, provide requested features, authenticate users, administer subscriptions, deliver files and respond to requests. We use legitimate interests to secure the service, prevent abuse, measure reliability, keep financial records, resolve disputes and improve workflows without overriding your rights.

We process cookie-based analytics with consent where required. We use legal obligation where tax, accounting, sanctions, consumer-protection or law-enforcement duties apply. You may withdraw consent without affecting earlier lawful processing.

User inputs, generated outputs, files and AI processing

Inputs, manuscript excerpts and authorised reference files are sent to an AI processor only to perform the text, image or video generation you request. Generated outputs, including copy, metadata, cover and layout concepts, media links and trailers, are returned to your project so you can review, revise, export or delete them. Wayword does not use customer inputs or generated outputs to train models, and does not represent that an AI provider trains on them.

Project records and generated-output references are retained while your account is active and ordinarily deleted from active Wayword systems within 30 days after an account- or project-deletion request, except where a shorter user-selected deletion applies, a provider link expires earlier, or a legal hold requires retention. Generation providers may temporarily retain request and output data under their documented security and abuse-prevention terms. Download time-limited media promptly and keep your own archive.

Who we share it with

We share the minimum required data with service processors for hosting and storage, payment processing through Stripe or PayPal, transactional email, customer support, error monitoring, analytics where consent applies, and AI text, image or video generation. Processors act under contractual confidentiality and security duties.

We may disclose data to advisers, authorities or a successor organisation where legally required, necessary to defend rights, or part of a corporate transaction. We do not sell personal information. We do not share personal information for cross-context behavioural advertising.

International transfers

Our providers may process data outside the United Kingdom or European Economic Area. Where restricted data is transferred, we rely on adequacy regulations, the UK International Data Transfer Agreement or Addendum, EU Standard Contractual Clauses, and supplementary security measures as appropriate.

How long we keep it

Account and project data is kept during the account relationship; deleted project content is removed from active systems within 30 days where technically feasible. Support records are generally kept for 24 months. Security logs are generally kept for up to 12 months. Transaction, invoice, refund and tax records are kept for up to seven years where required. Backups age out on controlled schedules.

Security

We apply access controls, encryption in transit, restricted production credentials, secret management, logging, provider review and recovery procedures. No online system is risk-free. Use a unique password, restrict manuscript uploads to what is needed, and notify us promptly of suspected access.

Your GDPR and CCPA rights

Depending on location, you may request access, correction, deletion, restriction, portability, objection, withdrawal of consent, or review of a decision. United Kingdom and European users may complain to their supervisory authority; in the United Kingdom this is the Information Commissioner’s Office. California residents may request to know, correct or delete personal information and receive equal service for exercising rights.

We do not sell or share personal information as those terms are defined by California law, so no opt-out sale is necessary. We will honour legally recognised preference signals where applicable. Email support@vvagabondvoices.shop and we may verify your identity before acting.

Cookies, automated decisions and children

Essential cookies support authentication, security and preferences. Optional analytics cookies are used only according to your consent settings. See the Cookie Policy for durations and controls.

Wayword does not make decisions producing legal or similarly significant effects solely by automated means. AI output supports creative work and remains subject to author review. Children under 13 may not use the service. Users aged 13–17 require verifiable permission from a parent or guardian.
